Sending a bike from one city to another by road is a straightforward process, but the transport company will need a few documents from you before your bike is picked up. Having these ready in advance saves time and avoids any last-minute delays on the day of pickup.
Registration Certificate (RC)
The Registration Certificate is the most important document for bike transport. This is the official document that confirms the bike is registered in your name and is a legal vehicle on Indian roads. The transport company records the vehicle registration number before the bike is accepted. Keep the original RC safely with you, but have a clear photocopy ready to share with the company.
Valid Insurance Certificate
The transport company will typically ask for a copy of your bike's current insurance certificate. This confirms that the bike is insured and helps in case of any claim during transit. Check that your insurance is valid and not expired before the pickup date. An expired insurance certificate can delay or complicate the booking process.
Your Photo ID
You will need to show a valid government-issued photo ID when handing over the bike. An Aadhaar card, PAN card, driving licence, or passport is acceptable in most cases. The company uses this to verify your identity and match it to the booking details.
Booking Receipt or Confirmation
After you book the bike transport service, the company should give you a booking confirmation — by message, email, or a printed receipt. Keep this handy on the day of pickup. It contains the booking reference number, pickup and delivery details, and the agreed price, all of which you may need if there is any question on the day.
No Objection Certificate (If Required)
In some cases, especially for interstate transport, the company may request a No Objection Certificate from your local Regional Transport Office (RTO). This is not always required within the same state, but it may be needed when moving between states. Ask the transport company in advance whether this document applies to your specific route so you have time to arrange it.
What to Do Before Handing Over the Bike
Along with the documents, do these things before the pickup team arrives:
- Take clear photos of the bike from multiple angles. This gives you a record of its condition before transport.
- Drain or reduce the fuel in the tank. Most transport companies require the fuel level to be below a quarter tank for safety during loading and transport.
- Remove loose accessories such as phone mounts, seat bags, or decorative items, as these can get damaged or lost in transit.
- Confirm the delivery address, contact number at the destination, and the estimated delivery date with the company before they leave.
Who Collects the Bike at the Destination
The person who collects the bike at the destination also needs to show a valid photo ID. If someone other than you is collecting the bike, inform the transport company when you book, and make sure that person has a copy of the booking confirmation to show at the time of delivery.
